Administrative Assistant
An excellent opportunity has arisen for an Administrative Assistant to join our team.
The role
As Administrative Assistant you will be responsible for:
- Opening incoming post and ensuring that it is scanned in accurately to the Practice Director in a timely manner.
- Carrying out by-hand deliveries/collections to/from various third within close proximity of the office.
- Paginating medical records to ensure that all pages are accounted for before scanning them in for the Fee Earner to review.
- Undertaking printing and photocopying tasks in an accurate and timely manner.
- Dealing with outgoing mail ensuring that all mail is GDPR compliant, franked/stamped and that the correct method of postage is used.
- Providing cover for reception when required which will include meeting and greeting clients and various other third parties.
- Assisting with the overflow of telephone calls, ensuring that calls are answered promptly and in a polite and professional manner.
- Completing filing to ensure that files are kept up to date and accurate.
As an Administrative Assistant your role plays a crucial part in the effective and efficient day to day operation of the office. Your role is to provide professional and reliable administrative assistance to the firm and its employees to ensure that the office operates smoothly.
The role will require you to be proactive, take initiative, be able to prioritise your own workload and will require you to possess excellent communication skills.
The successful candidate will have the potential and willingness to develop the role further, take on additional responsibilities and make the role their own.

Receptionist – Front of House
An exciting opportunity has arisen for somebody to join us as ‘Front of House’ at Potter Rees Dolan, a Hugh James Business.
The role
The successful candidate will be responsible for fielding all incoming telephone calls, as well as welcoming both clients and third-party professionals into the office. As ‘Front of House/Receptionist’ you will be responsible for a wide range of tasks, including booking and facilitating meetings taking place across our two Manchester offices.
Responsibilities will include (but are not limited to):
- Greeting clients and third-party professionals upon arrival
- Booking meetings and arranging car parking for visitors
- Organising catering and providing refreshments to meeting attendees
- Maintaining the reception area and facilities within that area
- Booking taxi travel for both internal and external personnel
- Completing weekly fire checks.
As ‘Front of House/Receptionist’ you will provide support to the business and its employees in ensuring that clients and third-party professionals feel welcome when visiting our offices.
It is important that prior to applying, candidates are aware of the type of work which we specialise in at Potter Rees Dolan/Hugh James and the potential challenges the nature of our clients’ injuries can present. We would encourage all potential applicants to conduct their own research, but this is something which will be discussed at interview stage.
The successful candidate will be professional in appearance, personable and will have excellent communication skills at all levels. They will also be able to demonstrate exemplary client care which is exceptionally important to the firm.
Working hours are 8:00am to 5:00pm, Monday to Friday with one hour for lunch.
Qualifications, skills and experience
Prior experience as a Receptionist/Front of House in a client facing, professional environment is essential.
